Trade Mark Records Manager

We are looking to recruit a specialist Trade Marks Records Manager. This position will offer the opportunity to mold and develop the trade mark records and renewals function and team. We are looking for someone that will be excited and energised in driving efficiency and operational procedures for the trade mark department, as well as providing training and development to the Trade Mark Records staff and the wider Records/Renewals team. This role requires significant experience in trade mark formalities and ideally you will be CITMA qualified with at least 5 years’ experience in a formalities position which includes management responsibilities. Excellent communication skills a passion for trade marks and client service are all qualities we would expect the successful candidate to bring to the role, in return you can look forward to working alongside a supportive, friendly and collaborative team of trade mark professionals in a position to drive change and influence.

Key Responsibilities:

  • Lead, manage and mentor the trade mark records and renewals team, fostering a collaborative and high-performing environment;
  • Oversee the accuracy and integrity of trade mark records, ensuring data is consistently maintained to a high standard;
  • Review, optimise and implement procedures for deadline and case management;
  • Supervise docketing activities, ensuring compliance with internal processes and external requirements;
  • Drive continuous improvement of trade mark renewals processes to enhance efficiency and reduce risk;
  • Collaborate with internal teams on system upgrades, automation initiatives and workflow improvements;
  • Configure and maintain Inprotech rules to support effective records and deadline management;
  • Manage the onboarding of large portfolios and data migrations, including auditing and validating existing data;
  • Produce bespoke trade mark records reports to support business and client needs;
  • Deliver training and guidance to staff, promoting best practice across systems and processes;
  • Monitor and interpret relevant legal and regulatory developments, ensuring processes remain compliant;
  • Act as key contact for the software provider, managing troubleshooting, updates and new feature implementation.

Experience:

  • CITMA paralegal qualification (required);
  • Management experience (required);
  • Knowledge of Inprotech (desired) or trade mark records management system (required).
